CATS Committees

Members are expected to serve on at least one committee to assist in the many activities and business of the Club. There are quite a few committees to choose from. Find one or two that suits your interests and skills. Indicate on your membership renewal the committees of your choice. Ask your mentor or the president who is the Chair and let them know you’re ready to serve.

  • Equipment: Manages and maintains Club’s agility equipment.
  • Event: Plans and carries out CPE and USDAA sanctioned agility trials, which are our primary fundraising activities for the club.
  • Groundskeeping: Conducts maintenance of the outdoor arena and surrounding areas
  • Finance:  Manages Club’s budget.
  • Auditing: Conducts annual audit of the Club financial records.
  • Librarian & Historian: Manages book collection, records Club history and policies.
  • Membership: Recruitment and orientation of new members.
  • Nominating:  Recruits and nominates members for the Board of Directors.
  • Seminar: Plans and carries out seminars for members and the wider agility community.
  • Training:  Plans and arranges training sessions for Club members.
  • Show & Go: Plans and carries out show & go and run thru events for members and non-members.
  • Social: Plans and carries out social functions, maintains rainbow bridge memorials.
  • Social Media & Promotion:  Administers website, online calendar, Facebook page, Google Groups.

Expanded Descriptions of Committees & Their Tasks

Reporting done by every Committee: 

  1. Providing an annual budget of expected income and anticipated expenses to the Treasurer, preferably by February. 
  2. Committee chair provides regular updates of Committee activities to the Board of Directors, either via email or in-person (Zoom) at a scheduled meeting.
  3. Committee chair provides a summary of its activities for the year for the Club President’s Annual Report. Done in advance via email and incorporated by the President into the Annual Report. 

Auditing Committee 2-3 people. Conducts annual audit of the Club financial records.

  1. Typically one in-person meeting at MHS in December/January, to review the treasurer’s books. Remainder of work is done individually and by email/zoom.  Committee work is typically done in Dec-Jan each year.
  2. Committee Members will review bank statements and a spreadsheet of transactions for the prior year, looking for inconsistencies and confirming completion of certain business management tasks of the club including completion of state and federal nonprofit filings, issuance of 1099’s to individuals, renewal of club’s insurance policies.  There is a handy checklist and instructions on how to conduct the audit.
  3. Maintain and update the checklist and audit instructions as needed.

Equipment Committee 2-4 people. Manages and maintains Club’s agility equipment.

  1. Evaluation of brands and pricing for purchase of new equipment desired by Club.
  2. Maintaining updated inventory of Club’s equipment with replacement costs. List is needed for annual insurance coverage. 
  3. Regularly assessing older and little-used equipment for repair, replacement, or sale/auction. 
  4. Keeping abreast of equipment changes among the sanctioning organizations, particularly those for which CATS hosts trials (currently USDAA & CPE), as well as those organizations which a significant number of members compete in (NADAC). 

Event Committee Two different groups: CPE & USDAA with the same responsibilities. Each group ideally 3-6 people. Days of the trial all Club members are asked to help.

  1. Choose a date
  2. Submit trial application and fee
  3. Hire a judge
  4. Select the classes and their order.
  5. Order ribbons, title bars, and special awards.  Store ribbons
  6. Create a budget
  7. Hire a Trial Secretary
  8. Approve the premium when available
  9. Once approved, promote the trial
  10. Inventory all trial supplies needed
  11. Rent a potty
  12. Reserve overnight accommodations for the judge.
  13. Arrange for key trial workers
  14. Arrange for dedicated workers
  15. Keep promoting the trial
  16. Communicate with judge on preferences on snacks and beverages as well as preference for dinner arrangements.
  17. After trial, collect and pay bills
  18. Review expenses.  Net profit vs CATS budget.
  19. Make notes for the next trial.

Finance Committee  1-2 people. Manages Club’s budget.

  1. Develop a budget for the year in Jan/Feb, for presentation to the club for approval at the March Membership meeting.
  2. Coordinate with treasurer on adjustments to budget when the need arises, providing oversight and backup as needed.  
  3. Committee activity will be primarily during Jan/Feb and can take place by email/zoom without the need for in person meetings if the committee chooses. 

Groundskeeping Committee 5-10 people. Maintenance of the outdoor ring and surrounding grounds.  

  1. Purchases appropriate boric acid treatment for insects. Treat the grounds inside and outside of the ring for ants.
  2. Purchases appropriate fertilizer for the grass in the ring. Fertilizes inside the ring. 
  3. Rakes the ring and the “lawn” outside the ring.
  4. Clears the crating areas under the pines of fallen branches and pine cones. Routinely patrols the grounds for poop and reports to MHS (through the CATS President) if it appears that people are not picking up after their dog. 
  5. Hires and schedules someone to mow and weedwack the fencing inside and out. 
  6. May remove hanging limbs from trees or notify MHS of the need to do so. 
  7. May remove brush under the pines to appropriate piles along the service road or toss over the bank near the pens. 
  8. Inspect the grounds each spring during equipment migration. Report to MHS any piles of gravel from snow plowing that interferes with use of the “lawn” outside the ring for trials and setting up of the shade tents. 
  9. Inspect the gates, posts and fence wires for deterioration and work with MHS to replace them. 

Librarian & Historian: Manages book and DVD collection, records Club history and policies. 

  1. This is a 1-person job, requiring attention to policies that are decided at meetings and having the ability to occasionally physically maintain the club library, which is located in the MHS training center in the green lockers along the back wall.  
  2. The policy document is a searchable spreadsheet, updated by the historian as new policies are decided.  The document should be maintained in Google Docs with access for all members to read, but not edit. Backup document should be maintained by the club secretary. 
  3. Collect and preserve any press items about CATS such as news articles.
  4. Accept donations to the CATS library and label items with CATS name.
  5. Maintain sign out system for library items
  6. Publicize the existence of the library to the members

Membership Committee Recruitment and orientation of new members.   

  1. Updating membership application and renewal each year
  2. Maintaining membership list in coordination with BOD / Officers including committee signups and working at trials (who enforces this?)
  3. Ensuring new members have a CATS buddy or mentor for their first year
  4. Publicizing membership opportunities with posters, flyers, and a welcoming presence at CATS events open to the public

Nominating Committee 3- people. Nominates candidates for the Board of Directors, as well as the Club’s Officers. Recommendations for candidates are provided by the Board of Directors upon appointment of the Committee. Duties and timeline are governed by the Club’s bylaws. Work begins in September and is reported to the Club in November which concludes the Committee’s work. Intense but short-lived Committee requiring: good knowledge of who are the current members; duties of the Board and its Officers; and a level-of-comfort conversing with members. Committee members are not eligible for nomination.

Seminar Committee plans and carries out seminars for the Club and the agility community which generates funds for the Club.

  1. Locates presenters
  2. Coordinates all planning and execution of arrangements for seminars.
  3. Promotes seminars.
  4. Handles registrations and collects payments by check.
  5. Committee chair provides regular updates of Seminar Committee activities to the  BOD.
  6. Committee chair provides a summary of seminars for the year for the Club President’s Annual Report.

Social Media & Promotion Committee 1-2 people. Promotes the Club and its events. Committee meetings aren’t needed but communication is necessary with the Seminar Committee, Trial Chairs, and the Board to get all the updated information needed to do the job. Computer skills are needed. Individual needs their own computer and wifi. Best to have up-to-date OS to access all editing/design tools in WordPress for the website maintenance.

  1. Maintenance of the website CanineAgility.org on a Word Press platform. Keep the site current with latest version of the following: 
    *Bylaws
    *Club & Board meeting dates
    *Check Request Form
    *Trial Premiums
    *Membership Application & Membership Renewal
  2. Maintain the Club’s Facebook page with posts of interest as well as responding to comments
  3. Review the need for a Club FB group for members
  4. Have the Club be a member of several FB groups
  5. Create promotional flyers as needed to promote events such as seminars, run-thrus, training classes, etc. 

Training Committee plans and arranges training sessions for Club members.

  1. Ask members for input on training topics.
  2. Invite members to offer training sessions.
  3. Organize and publicize training sessions.
  4. Generate funds for the Club through training fees.
  5. Coordinate sign up on the Club’s indoor or outdoor calendar.
  6. If needed, create a budget or convey to the CATS BOD that funds are not needed for the year.
  7. Provide regular updates of Training Committee activities to the BOD.
  8. Contribute a summary of training activities for the year to the Club President’s Annual Report.
